Who we are

This website, passq.io, is run by PassQ Limited. We build software for temporary recruitment agencies. When this policy says “we”, “us” or “PassQ”, it means PassQ Limited.

PassQ Limited is a company registered in England and Wales, company number 16988851. Our registered office is 20 Claremount Road, Wallasey, United Kingdom, CH44 2BW. We are the data controller for the information described in this policy.

What this policy covers

This policy explains what personal information we collect through this website, why we collect it, and what we do with it. It also sets out your rights and how to reach us.

It does not cover the personal information we handle when we run our service for a recruitment agency. That work is different, and we explain it further down under “When we work for a recruitment agency”.

What we collect, and why

There are three points on this site where we collect information.

When you contact us or book a demo

If you fill in our contact or demo form, we collect your name, your email address, your agency name, and any message you choose to add. We use this to reply to you and to arrange the demo.

Our lawful basis is our legitimate interests: responding to people who ask to hear from us and running our business. If you would rather we did not hold your enquiry, you can ask us to delete it.

When you sign up to our newsletter

If you sign up to our newsletter, we collect your email address. We pass it to Beehiiv, our newsletter provider, which sends you a welcome email and, from time to time, our updates. Every email has an unsubscribe link.

Our lawful basis is your consent, which you give when you sign up. You can withdraw it at any time by unsubscribing or by contacting us.

When you visit the site

Our website runs on Vercel, which hosts the site for us. Like almost any website, the server keeps standard logs when you visit, which can include your IP address and the type of browser you use. These logs help keep the site secure and working.

Our lawful basis is our legitimate interests: keeping the site running safely and reliably.

Who we share it with

We do not sell your information, and we do not share it for advertising. We use a small number of trusted providers to run the site, our analytics and our newsletter:

• Vercel hosts this website and processes the standard server logs described above.
• Google runs Google Analytics, which helps us understand how the site is used, as described in the Cookies section below.
• Beehiiv runs our newsletter and processes the email address you give us when you sign up.

These providers act on our instructions. We may also share information if the law requires it, or to protect our rights.

Sending information outside the UK

Some of our providers are based outside the UK. Beehiiv and Google are both based in the United States, so using our newsletter or our analytics means some of your information is handled outside the UK. Where information leaves the UK, we make sure it is covered by appropriate safeguards, such as the standard contractual clauses approved for this purpose, so your information keeps a similar level of protection.

How long we keep it

We keep your information only as long as we need it.

• We keep enquiries while we deal with them, and for a reasonable period after, in case you come back to us.
• We keep your newsletter details until you unsubscribe, after which we remove you from the list.
• Server logs are kept for a short period as part of running the site.

When we work for a recruitment agency

Away from this website, PassQ runs a service for recruitment agencies. When we do that work, we contact candidates and referees to collect references and compliance information, such as references, DBS status, right to work and qualifications. We reach people by phone, WhatsApp, text message and email. Phone calls may be recorded.

In that work, the recruitment agency decides why and how the information is used, so the agency is the data controller. PassQ acts as a data processor, handling the information on the agency’s instructions.

If you are a candidate or a referee and you have a question about how your information is used, or you want to exercise your rights, please contact the recruitment agency that engaged PassQ, as they are responsible for that information. You are welcome to contact us too, using the details below, and we will help where we can. The full terms for that work are set out in our agreement with each agency.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the information we hold about you;
• ask us to correct information that is wrong or incomplete;
• ask us to delete your information;
• ask us to restrict how we use your information;
• object to us using your information;
• ask us to move your information to another provider, where that applies;
• withdraw your consent at any time, where we rely on consent.

To use any of these rights, contact us with the details below. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection, at ico.org.uk. We would ask you to come to us first so we can try to put things right.

Cookies

We use Google Analytics 4 to understand how the site is used, for example which pages people visit, their rough location, and the type of device they use. We use this to improve the site. Google Analytics sets cookies and the data is processed by Google. Google Analytics handles IP address data in line with how GA4 works, which includes not storing full IP addresses.

We set these analytics cookies only if you accept them on the banner that appears when you first visit. If you decline, Google Analytics does not load. You can change your mind at any time by clearing this site’s cookies or site data in your browser, and the banner will ask you again.

We do not run advertising cookies or tracking pixels. Beyond Google Analytics, we use only cookies that are strictly necessary for the site to work.

You can read how Google uses this data in Google’s privacy policy. If you would rather not be measured by Google Analytics on any site, you can install Google’s opt-out browser add-on. If our use of cookies changes, we will update this policy.

Changes to this policy

We may update this policy from time to time. When we do, we will change the date at the top of the page. Please check back now and then to see the latest version.
